How do I delete a loan on a patron account?
Answer
There may be times when a loan on a patron record should be deleted rather than returned / scanned in. Scenarios when this may be appropriate are:
- The item was checked out in advance for curbside or locker pickup, but the borrower never picked up the item.
- The loan was recorded on the incorrect patron account.
Deleting the loan rather than checking in the loan keeps the patron's record accurate since they did not in fact borrow the item. It also allows the Library to maintain accurate checkout statistics for loaned/returned materials, which we report in state and federal statistical surveys.
Delete the Loan
1. Go to Manage Patron Services and search for the patron by name or ID number.
2. Select more actions menu [...] next to the loaned item.
3. Select Delete loan and confirm the action
4. Confirm the item's status is correct. Do a physical item search and scan the barcode of the item for the loan that you just deleted.
- For items owned by the library, the item's status should show "item in place".
- For items from a different campus, you may need to "Scan In" to set the item to transit back to the owning library.
Find the Patron
If you have the item in hand, but don't have a record of who it was loaned to, you can search for the barcode in a physical item search. Then click on the Process Type: Loan.
From there, you can see the patron who the item is on loan to. (Note: This information is also stored in the item record, Fulfillment History.)
Click on the borrower's name to open their transaction account.
